Trip – World Wide Pandemic
In the event of a world wide pandemic and there’s a UK travel ban your booking will be rolled over to the following year. If you are unable to attend the following years new date(s) you then you will be given a credit note which will last for 3 years from the date your original trips was due.
Trip – Boarder Closures
In the event of one the boarders being closed then your booking will be rolled over to the following year the event is next run. If you are not able to attend the new date then you will be given a credit note which will last for 3 years from the date your original trips was due.
Trip – Instalment Payments or Payment dates.
If you have been rolled over to the following year for whatever reason payments by due dates or instalment dates must still be paid to keep your place. Failure to do so will mean your booking will be cancelled.
Trip – Cancellation of bookings
In the event we (European Cycle Events) have to cancel your booking outside of boarder closures or a pandemic or failed scheduled payments then you will get a full refund.
In the event of a customer cancelling irrespective of reason eg, injury , work , getting married etc etc the only refund that will be made will be any payment made within the last 28 days from the cancellation date , NO other refund will be will be given or event roll over or credit note.
Individual Transport Bookings
If a customer cancels a transport booking then NO refund is given unless it’s cancelled within 28 days of the initial booking date. If we cancel your transport booking then a full refund will be given.If a pandemic or boarder closures apply then the same terms apply as those for a trip, see above.
Group Bike Transportation Booking
At the time of making a booking a 50% deposit is required to reserve the date, the agreed date(s) is/are only confirmed when payment has cleared in our account – otherwise the date(s) are still available.The balance will need to be paid as per the date on the statement/invoice. If a booking date is revised beyond the original date the payment date on the invoice/statement MUST still be met otherwise the booking is cancelled and any previous payments are NOT refunded.
If the new departure date is brought forward and is closer than the invoice/statement payment due date then the balance must be paid in FULL. If a customer cancels a Group Transport Booking then NO refund is given – NO EXCEPTIONS. If a trip is cancelled due Government restrictions then a credit note will be issued to a customer and must be used within 3 years of the initial departure date.
A deposit refund is only given if a Group Transport booking is cancelled within 28 of the deposit being paid.If a final balance is paid and a Group Transport Booking is cancelled by the customer then NO refund is given. Please note if we cancel your booking then a refund of all payments will be made back to the customer with in 6 weeks.
Minimum Numbers for a trip to go ahead
For a trip to go ahead a minimum of 10 bookings must be achieved. We have the right to cancel a trip in the unlikely event that this number is not achieved. In the event of a trip cancellation we will refund any payments made to us. Our decision will be made 12 weeks before the departure date.
Please note we do not refund any other costs, such as flights.
Non Payment or late payments
Any payment NOT made by its due date, whether an interim payment or monthly instalment or the final balance this could result in your booking being cancelled with NO refund of any previous monies paid. If you are late with an interim payment or monthly payment the current FULL balance must be paid within 14 days of the interim or monthly payment due date or your booking will be cancelled. If you are late with your final payment your booking will be cancelled.
Late payment will incur a £25 additional charge. This will be added to your current statement/invoice.We do not like imposing these terms. However, we not only have considerable advance commitments to hotels and other associated travel and admin costs, but also always have a client reserve list of cyclists wanting to get on a tour, and we need to fulfil their requests as quickly as possible.
If you are sharing a room and the person you are sharing with cancels you will then be charged single room occupancy fee unless you or European Cycle Events can finds a replacement. We will always do our best to find a replacement (of the same sex) but in the event we cannot, or you cannot, then single room occupancy rate will apply. Notwithstanding the above, and if you have not paid for single room occupancy, then you will be sharing your room and your ‘room-mate’ will be allocated on arrival at your hotel.
Travel Insurance – Holidays
It is a company policy of European Cycle Events (5034events limited and MaratonaUK Limited) that all customers travelling with us have adequate travel insurance covering accident, personal injury, loss of luggage and cancellation. If you cancel your trip with European Cycle Events (5034Events limited MaratonaUK Limited), you are liable for any costs and losses, as stated above, so please be sure you have travel insurance.
Liability – Holiday
European Cycle Events (5034events Limited and MaratonaUK Limited) are not liable for personal injury, death, damage to property or other loss whether arising from accident, cancellations, flight changes, delays or any other matter beyond our control. Participants should insure against all such possibilities. Participants should also check that their travel insurance covers them for Public Liability in the instance that they, as a participant, are deemed to have caused an accident.
Alterations – Holidays
European Cycle Events trading name for (5034Events Limited and Maratonauk Limited) reserves the right at any time to substitute alternative accommodation or to make any other alteration to the tours which become necessary due to circumstances beyond their control and undertake to inform participants as soon as possible. If the required number of bookings (10) for a trip is not met, then European Cycle Events (5034events limited and MaratonaUK Limited) has the right to cancel a trip and a full refund will be given to the customers. This notice will be given made as soon as is possible. Please note European Cycle Events (5034events limited and MaratonaUK Limited) will not refund any other customer costs, for example flights. European Cycle Events trading name for (5034events limited and MaratonaUK ) have the right to refuse/cancel any booking without giving a reason and any monies that may have been paid to European Cycle Events will be refunded in full.
Client Equipment and bike transport
It is also a condition that participants wear an approved bicycle helmet always while cycling and that all participants ensure that their bicycle is in good working order before they arrive for a trip. We recommend that you have your bike serviced before you arrive for your trip.
Force Majeure – Holidays and Bike Transport
This means that we will not pay you compensation if we must cancel or change your travel arrangements in any way because of unusual or unforeseeable circumstances beyond our control. These can include, for example, war, riot, industrial dispute (for example, the disruption or closure of airports or other transport systems), terrorist activity and its consequences, natural or nuclear disaster, fire, health pandemics ,adverse weather conditions. In the unlikely event of the cancellation/postponement of the sporting events for whatsoever force majeure reason,5034 Events Limited and MaratonaUK Limited trading as European Cycle Events cannot be held responsible in any way for any monetary loss, inconvenience or any other circumstances, including non-refundable events fees.
All riders that we European Cycle Events trading name for (5034events limited and MaratonaUK Limited) enter for Italian Gran Fondo’s, French sportives or, for the avoidance of doubt, any other event, will be entered under the team name of “Team European Cycle Events” or a variation of this.
Data Security – Holiday and Bike Transport
When entering our events / holidays your email address will be automatically added to our database. If you do not wish for this to happen, please email us with the title “unsubscribe”.We have never and will never sell on or give your email address to any other company except for European Cycle Events being acquired by another company. From time to time we work with other organisers and we may email you regarding the event we are jointly working on, but we will never pass on your email address to the other company.
Please note if you have booked bike transportation via lorry or in a fully enclosed trailer then any issues must be directed to ECEBT Limited not European Cycle Events. European Cycle Events (5034events limited and MaratonaUK Limited) and ECEBT are separate companies. Any general questions regarding bike transportation logistics can be directed to ECEBT Limited at firstname.lastname@example.org. ECEBT is owned and run by the owners of European Cycle Events (5034events Limited and MaratonaUK Limited) and their transport terms and conditions can been seen in above sections.
UK Sportives – Refunds/Cancellations
In the event of a Sportive needing to be cancelled due to a pandemic then entries will be rolled over to the following year or when it’s next run. If the customer can not make the new date then a full refund is given.
If we cancel an event for reasons other than a pandemic then the rider has the option of a refund or passed over to another Sportive we may run. If a customer cancels within 28 days of a booking then a full refund is given , if a rider cancels outside the 28 days then NO refund is given.
5034 Events Limited and MaratonaUK Limited trading as European Cycle Events has the right to refuse a booking without giving reason.
