Late payment fee has now been introduced – previously payments were late and we just chased them up but now it’s costing time and financially. In addition cancellation of a booking has been updated.
No reminder emails will be sent out as due dates are on the web and on the customers statement.
Trip – World Wide Pandemic
In the event of a worldwide pandemic and there’s a UK travel ban your booking will be rolled over to the following year. If you are unable to attend the following year’s new date(s) then you will be given a credit note which will last for 3 years from the date your original trip was due.
Trip – Border Closures
In the event of one the borders being closed then your booking will be rolled over to the following year the event is next run. If you are not able to attend the new date then you will be given a credit note which will last for 3 years from the date your original trip was due.
Trip – Instalment Payments or Payment dates.
If you have been rolled over to the following year for whatever reason payments by due dates or instalment dates must still be paid to keep your place. Failure to do so will mean your booking will be cancelled.
Trip – Cancellation of bookings due to non payment by a customer or customers choice
Customers payment schedules are show on the trip webpage and on their statement. A statement is sent every time a payment is made. In the event a customer is late with an interim payment then a late payment fee will be charged to their account. If the balance payment is NOT made by the due date ( on the web and on the customers statement) then the booking will automatically be cancelled and no previous payments will be refunded.
We will no longer send out reminders as full details are on the web and on the customer statement.
In the event of a customer cancelling irrespective of reason a refund of a payment will be made providing the payment was made within 28 days from the cancellation date less an admin fee of 25% , if you cancel after the 28 days from a payment date eg day 29 days onwards then NO refund is given.
If a customer has paid the balance and cancels anytime after the balance due date (each trips balance due date is different) then NO refund will be given.
Minimum Numbers for a trip to go ahead
For a trip to go ahead a minimum of 10 bookings must be achieved. We have the right to cancel a trip in the unlikely event that this number is not achieved. In the event of a trip cancellation we will refund any payments made to us. Our decision will be made 12 weeks before the departure date.
Please note we do not refund any other costs, such as flights.
Rooms
If you are sharing a room and the person you are sharing with cancels you will then be charged a single room occupancy fee unless you or European Cycle Events can find a replacement. We will always do our best to find a replacement (of the same sex) but in the event we can’t, or you cannot, then single room occupancy rate will apply. If you are a solo customer and have booked to share with anybody of the same sex and we can’t get a “sharing person” then single room supplement will apply.
Travel Insurance – Holidays
It is a company policy of European Cycle Events that all customers travelling with us have adequate travel insurance covering accident, personal injury, loss of luggage and cancellation. If you cancel your trip with European Cycle Events , you are liable for any costs and losses, as stated above, so please be sure you have travel insurance.
Liability – Holiday
European Cycle Events are not liable for personal injury, death, damage to property or other loss whether arising from accident, cancellations, flight changes, delays or any other matter beyond our control. Participants should insure against all such possibilities. Participants should also check that their travel insurance covers them for Public Liability in the instance that they, as a participant, are deemed to have caused an accident.
Alterations – Holidays
European Cycle Events reserves the right at any time to substitute alternative accommodation or to make any other alteration to the tours which become necessary due to circumstances beyond their control and undertake to inform participants as soon as possible. If the required number of bookings (10) for a trip is not met, then European Cycle Events has the right to cancel a trip and a full refund will be given to the customers. This notice will be given as soon as possible. Please note European Cycle Events will not refund any other customer costs, for example flights. European Cycle Events have the right to refuse/cancel any booking without giving a reason and any monies that may have been paid to European Cycle Events will be refunded in full.
Client Equipment and bike transport
It is also a condition that participants wear an approved bicycle helmet always while cycling and that all participants ensure that their bicycle is in good working order before they arrive for a trip. We recommend that you have your bike serviced before you arrive for your trip.
Force Majeure – Holidays and Bike Transport
This means that we will not pay you compensation if we must cancel or change your travel arrangements in any way because of unusual or unforeseeable circumstances beyond our control. These can include, for example, war, riot, industrial dispute (for example, the disruption or closure of airports or other transport systems), terrorist activity and its consequences, natural or nuclear disaster, fire, health pandemics ,adverse weather conditions. In the unlikely event of the cancellation/postponement of the sporting events for whatsoever force majeure reason, European Cycle Events cannot be held responsible in any way for any monetary loss, inconvenience or any other circumstances, including non-refundable events fees.
All riders that we European Cycle Events enter for events abroad will be entered under the team name of “Team European Cycle Events” or a variation of this.
Data Security – Holiday and Bike Transport
When entering our events / holidays your email address will be automatically added to our database. If you do not wish for this to happen, please email us with the title “unsubscribe”.We have never and will never sell on or give your email address to any other company except for European Cycle Events being acquired by another company. From time to time we work with other organisers and we may email you regarding the event we are jointly working on, but we will never pass on your email address to the other company.
UK Sportives – Refunds/Cancellations
In the event of a UK Sportive needing to be cancelled by European Cycle Events for any reason then entries will be rolled over to the following year or when it’s next run. If the customer can not make the new date then a full refund is given. If a customer wishes to cancel an entry then there will be NO refund if the cancellation request is within 28 days of the event date , if they cancel outside 28 days , ie 29 + days the a full refund will be given less 25% admin charge ( this is to cover our 3rd party costs to take your entry ) .
Refusal
European Cycle Events has the right to refuse a booking without giving reason.
